DAI Solutions is a dynamic woman-owned management consultancy focused on the people part of transformation. Located in Alexandria, VA, we are seeking a full-time Training Planner (32-40 hours per week) to work onsite to support a federal agency in Washington, DC. The client requires support for training events, learning administration tasking, and learning program support.

Job responsibilities:


Pre-event and post training planning and logistical support:

  • Manage event registration and communications including pre-work tracking

  • Assist with event scheduling

  • Identify location needs, secure room reservations and work with CFPB Facilities to meet room set-up needs (including room set-up/layout diagrams, as needed)

  • Coordinate and communicate with event facilitators and delivery personnel

  • Manage the duplication process for materials including preparing event packets (using CFPB-provided, or CFPB-available resources; not Contractor provided)

  • Prepare orders for materials and books and other supplies needed, document actions for CFPB-record keeping/budgets, track (and communicate as needed) to completion

  • In coordination with Learning & Development (L&D) staff, develop and implement event communication plans and announcements

  • Respond to logistical questions prior to the event

  • Create printed name badges and name tents

  • Create course roster (may be printed document, or accessed from CFPB Treasury Learning Management System (TLMS)

  • Arrange for and monitor event refreshments when required

  • Format and summarize evaluation data

  • Prepare assessment reports

  • Tag wiki with event information and updates wiki pages and documents as needed, in support of scheduled events

  • May assist with minor text-based updates to existing wiki pages for L&D team

  • Order and maintain general supplies, document needs, track, and communicate supply levels, timing, and forecasts to L&D team

  • May work in TLMS in support of training events or training class administration including:

  • May create class sessions in TLMS, depending on program and need

  • May register or enroll participants into classes in TLMS

  • Print classroom rosters (either manually or via TLMS)

Training logistics and learning support services:

  • May mark learners as complete/incomplete rosters in TLMS following class

  • Assist in communication and announcement of training offerings

  • Answer general inquiries on training class information, delivery schedules, registration processes, etc.

  • For any remote/non-DC training event deliveries, plan logistics, document actions, track, communicate, and follow-through via distance communications and collaboration tools, to ensure success of distance events and related tasking

  • Track and analyze the tasks and time allocation to event support

  • Assist in determination of typical work effort for pre-event planning and logistical support per event, or series of events


Onsite logistical support when events are presented in or from Washington, DC:

  • Set-up classroom with materials and equipment required

  • Confirm room set-up requirements have been met and liaise with CFPB facilities

  • Test technology and liaise with tech support

  • Confirm that needed supplies, materials, and equipment are in place, and communicate and escalate as needed/appropriate to address event needs

  • Coordinate and confirm the set-up and break-down of event refreshments when required

  • May assist Facilitator with some class set-up tasking, day-of-event, if needed

  • May assist Facilitator for first period of class instruction to first break, or at a critical point of instruction, depending on balance of tasking and needs in parallel

  • May assist Facilitator with some class break-down tasking, day-of-event, if needed

  • Assist participants with logistical questions on day one of events

  • Assist in determination of typical work effort for on-site logistical event support per event, or series of events

  • May support the set-up, testing, and event execution for any live, virtual Instructor-led training, or Webinar hosted from Washington DC office location (where position is based) led by Talent Management Team including:

  • May assist with session scheduling and set-up in distance-learning or Webinar presentation product (ex. WebEx, LiveMeeting, Adobe Connect)

  • May assist in testing and technical set-up of distance learning event

  • May assist the Talent Management Team instructor/facilitator with running the distance-learning or Webinar product (ex. WebEx, LiveMeeting, Adobe Connect) during session, while instructor presents content/course itself (ex. advance screens, manage Chat feature and/or collaboration features etc. designed into course by CFPB), depending on program and resource needs

  • May register or enroll participants into classes in TLMS following virtual session

Maintain quality responses and response time for the Learn mail box and other program support, including email and phone inquiries:

  • Provide triage to incoming mail box, respond to general noncomplex inquiries with scripted responses and forward complex issues to the appropriate L&D team member utilizing established Standard Operating Procedures

  • Answer non-complex questions on procedures and/or processes, and or guide inquiries to CFPB resource and documentation to address questions

  • Prepare and provide quality control on requests for credentials, tuition reimbursement, nomination, TLMS course addition, transcript/document request, and report requests:

  • Review submissions for properly completed packages following up with staff when more information, is needed

  • Enter and maintain the action log

  • Escalate to L&D team members for final review and approval and communicate and track turn-around time

  • Seek any needed approvals on credential requests, external training requests, policy interpretations, etc. from L&D team members, and assist in tracking and following inquiries to closure

  • Send out all approvals from CFPB L&D team members with any needed follow on instructions

  • Forward information to appropriate offices

  • Post/publish learning program info on wiki (updated communication to various audiences such as toolkit, upcoming classes from approved vendors, etc.)

  • Track and analyze the amount and content of the Learn mailbox

  • Assist in determination of work efforts associated with contractor tasking of, and resulting from inquires via Learn mailbox and related

  • Work to support training events may require movement and carry of printed training materials such as training class materials, participant/instructor guides, training class supplies, laptop or LCD projector equipment, flip chart/easel stands, screens, etc. and at times may require transportation of items from CFPB building or training site within a few blocks walk/between buildings. Contract personnel must be able to lift up to 40 pounds of materials or equipment, if needed

  • Demonstrated ability to prioritize and manage multiple assignments while maintaining attention to detail and a focus on results
  • Comfortable working in a fast-paced environment

Bachelor’s degree

Skills and Experience:

  • Minimum two years’ experience and knowledge in training coordination/event/project management
  • Experience working onsite with federal government client is preferred
  • Experience using the Microsoft Office Suite, including Excel, PowerPoint and Word
  • Ability to courteously and professionally communicate with internal and external stakeholders and respond to inquiries with quality customer service and timely responses
  • Experience logging and tracking inquiries and issues to conclusion to support requesting customers is required
